RankinSoft ("we", "us", or "our") is a dedicated provider of enterprise AI strategy, workflow automation, and specialized IT consulting services.

This Privacy Policy governs the collection, use, and disclosure of personal data when you interact with our primary website (https://rankinsoft.com), utilize our booking systems, or engage with our targeted marketing efforts on platforms such as LinkedIn.

2. Information we collect

Depending on the nature of your interaction with our services, we may collect the following categories of information:

  • Identity & Contact DataYour full name, corporate email address, phone number, company name, and professional title.
  • Professional CommunicationsTranscripts, meeting notes, project briefs, and any explicit details shared securely during consultations.
  • Scheduling & Booking MetricsAppointment times, availability preferences, and necessary metadata collected via our calendar integrations.
  • Technical & Usage DataInternet Protocol (IP) address, browser specifications, device identifiers, geographic location data, and page interaction statistics.
  • Marketing & Engagement DataInteractions with digital advertisements, campaign identifiers, and information submitted through third-party lead generation forms.

We conduct business-to-business (B2B) engagements and do not intentionally collect or process sensitive personal information (such as biometric data or protected class demographics) unless strictly required for a lawful, contractual purpose.

We process your personal information exclusively to support and improve our business operations. Specifically, we use it to:

5. How we share information

RankinSoft does not sell your personal information to data brokers or third parties.We only share data in highly controlled environments with the following entities:

  • Authorized Service Providers (Processors)Trusted third parties providing cloud hosting, CRM infrastructure, email delivery, analytics, and scheduling services. These vendors are contractually bound to strict data protection standards.
  • Error & Performance MonitoringSentry (Functional Software, Inc.), which we use to be told when our website breaks in your browser. When a technical fault occurs, it receives the error message and the technical trace that produced it, the page address, and your browser type and version. We have disabled IP address storage, and we do not send it your name, email address, phone number or the contents of any form. We rely on our legitimate interest in keeping this site working; it sets no cookie and stores nothing on your device.
  • Product AnalyticsMicrosoft Clarity (Microsoft Corporation), which we use to see how this site is actually used — where people scroll, what they click, and where a page confuses them. It records your interaction with the page as a replayable session and aggregates it into heatmaps. All text on the page, and everything you type into a form, is masked in your browser before anything is sent, so we see the shape of the page and the movement, not the words. Unlike our error monitoring above, this sets cookies and therefore runs only if you allow the Functional category; our lawful basis is your consent, and withdrawing it deletes the cookies and stops the recording immediately.
  • Traffic AnalyticsGoogle Analytics 4 (Google LLC, and Google Ireland Limited for visitors in the European Economic Area), which we use to understand how many people reach this site, which pages they land on, and which link, search or campaign brought them. It receives the pages you view, the referring address, your device and browser type, and an approximate location derived from your IP address — Google does not log or store that IP address for this property. It is never sent your name, email address, phone number or the contents of any form. Google processes this on our instructions under its Data Processing Terms; we have switched off Google Signals and advertising personalisation, so this data is not combined into any cross-device advertising profile. Like Clarity and unlike our error monitoring, it sets cookies and therefore runs only if you allow the Functional category; our lawful basis is your consent, and withdrawing it deletes the cookies and stops the measurement immediately.
  • Advertising NetworksPlatforms like LinkedIn or Google, strictly when you directly interact with our sponsored content or tailored lead forms.
  • Professional AdvisorsLegal counsel, certified accountants, or compliance auditors when necessitated by our business operations.
  • Legal AuthoritiesLaw enforcement or government agencies, only when compelled by a valid subpoena, court order, or binding regulatory mandate.
  • Business TransfersIn the event of a merger, acquisition, corporate restructuring, or sale of assets, your data may be transferred, subject to appropriate advance notification.

6. International data transfers

As a global consulting firm, RankinSoft may transfer, process, and store your data in countries outside your jurisdiction of residence, including data centers located in the United States and Australia.

When transferring personal data originating from the European Economic Area (EEA), the UK, or Switzerland to non-adequate jurisdictions, we ensure robust protection by implementing standardized legal frameworks, such as the European Commission’s Standard Contractual Clauses (SCCs).

7. Cookies and tracking technologies

We deploy cookies, web beacons, and similar tracking mechanisms to optimize your browsing experience:

  • Strictly Necessary CookiesEssential for the core operation, security, and rendering of our website. These cannot be disabled. Our cookie manager calls this category “Required”.
  • Performance & Analytics CookiesAllow us to track visitor volume, traffic sources, and site navigation patterns to improve our user interface. Our cookie manager calls this category “Functional”. This is the category that loads Microsoft Clarity and Google Analytics; decline it and neither is downloaded at all.
  • Targeting & Advertising CookiesUtilized to deliver relevant business advertisements and measure the conversion rates of our marketing campaigns. Our cookie manager calls this category “Advertising”, and it is off unless you switch it on.

The cookies Microsoft Clarity sets, and the category each one belongs to:

  • _clck — Performance & Analytics, first-partyStores a pseudonymous identifier so repeat visits are recognised as the same browser. Set by rankinsoft.com.
  • _clsk — Performance & Analytics, first-partyJoins the pages you view into a single session recording rather than a series of unrelated ones. Set by rankinsoft.com.
  • CLID — Targeting & Advertising, third-partyRecords the first time Clarity saw this browser on any website that uses Clarity. Set by clarity.ms.
  • MUID — Targeting & Advertising, third-partyMicrosoft’s cross-site browser identifier, used by Microsoft for advertising and analytics on its own properties. Set by clarity.ms.
  • ANONCHK, MR, SM — Targeting & Advertising, third-partyFlags that control whether and how MUID is refreshed and synchronised across Microsoft domains. Set by clarity.ms.

The split matters in practice: the two first-party cookies follow the Functional grant, and the Microsoft identifiers follow the Advertising grant. Allowing Functional alone gives us the heatmaps and leaves every clarity.ms cookie unset.

The cookies Google Analytics sets, both first-party on rankinsoft.com:

  • _ga — Performance & Analytics, first-partyStores a pseudonymous identifier so repeat visits are counted as the same browser rather than as new people. Expires two years after it is last set.
  • _ga_<property id> — Performance & Analytics, first-partyHolds the state of your current visit — when it started and whether it is still running — so a series of page views is counted as one session. Expires two years after it is last set.

Google Analytics sets nothing under the Advertising grant on this site: Google Signals and advertising personalisation are switched off, so there is no third-party counterpart to the Microsoft identifiers above. Declining the Functional category means the tag is never downloaded, and withdrawing it later deletes both cookies immediately rather than merely stopping their use.

Our error monitoring is not in this list because it is not a cookie: it sets nothing on your device and stores nothing in your browser. It runs for every visitor so that a broken page can be found and fixed, and what it collects is described under “How we share information” above. The optional performance tracing and session replay offered by that same provider remain switched off.

You retain full control over non-essential cookies via your browser settings or our site's cookie consent manager. Disabling certain cookies may limit your access to specific site functionalities.

8. Data retention

We retain personal information only for as long as functionally necessary to fulfill the purposes outlined in this policy, unless a longer retention period is explicitly required by law.

Our retention schedules are dictated by active contractual relationships, applicable statutes of limitation for dispute resolution, and mandatory financial reporting compliance.

10. Security

RankinSoft prioritizes data security. We implement rigorous, industry-standard technical and organizational measures—including transit encryption (TLS/SSL), secure access controls, and regular infrastructure audits—to protect your data from unauthorized access, destruction, or alteration.

However, no decentralized digital transmission or cloud storage system is fundamentally impenetrable. While we strive for maximum security, we cannot guarantee absolute immunity against highly sophisticated cyber threats.

11. Third-party links and services

Our website and communications may occasionally contain links to third-party software, scheduling applications, or professional networks. RankinSoft maintains no operational control over, and assumes no liability for, the privacy practices of these external entities.

We strongly encourage you to review the independent privacy policies of any third-party service before disclosing your personal information to them.

12. Children's privacy

Our enterprise consulting services are strictly designed for businesses and adult professionals. We do not knowingly solicit, collect, or process personal data from individuals under the age of 18.

If we become aware that we have inadvertently collected data from a minor, we will immediately execute protocols to purge that information from our databases.

13. Changes to this policy

We reserve the right to amend this Privacy Policy periodically to reflect advancements in our operational practices or shifts in global regulatory frameworks. The updated effective date will always be visible at the top of this page.
